General conditions for tour operators and travel agencies

Bookings

All bookings, changes of bookings and cancellations should be made in written form (E-mail, letter) and they will be confirmed as soon as possible. 

Should the hotel/s (or other services) selected be unavailable at the time of booking, alternative arrangements will be offered. 

Booking is confirmed with Hansatours booking number and in the further correspondence the number is required to be mentioned.

Cancellation

In case of cancellation of confirmed booking, we reserve the right to charge a nominal cancellation fee of services and expenses in accordance to those fees charged to us. Cancellation fees are percentage of the total booking value, if not agreed otherwise.

Cancellation terms for groups

Up to 31 days prior to arrival free of charge
30-22 days 40% of total booking value
21-15 days 70% of total booking value
14-11 days 90% of total booking value
10 days - no show    100% of total booking value

Exception

For group bookings starting from 21 rooms Hansatours shall have the right to impose separate prices, payment and cancellation terms.

In case the booking fails to meet the requirements for groups, Hansatours shall have the right to impose the prices, payment and cancellation terms applicable for individuals.

Cancellation terms for individuals

Up to 3 days prior to arrival free of charge
48 hours – no show 100% of total booking value

The effective date from which the days to arrival will be counted is the day when Hansatours has received the written cancellation notice. 

The effective dates can be Mon to Fri from 9:00 AM to 5:00 PM Estonian time except public holidays.

Changes of dates and reductions in group size are considered to be cancellations unless otherwise agreed in written form.

Rates

All rates are net (commissionable if agreed), and include all taxes. 

Prices are subject to changes without prior notice when factors occur beyond our control. 

Therefore they are subject to our final confirmation at the time of booking – once the booking is confirmed, they can not be changed.

Vouchers

All FIT clients and group leaders should have a separate voucher for each service required if not otherwise agreed. 

Vouchers should state all details of the booking and the remark Booked and payable via Hansatours.

Hotel clients should leave their accommodation vouchers to the hotel reception. 

For all the extra services provided by the hotel, clients have to pay directly to the hotel on departure.

Payment

Unless otherwise agreed, full payment for the requested services for groups is required 35 days prior to arrival. 

Full payment for the services for individuals is required 14 days prior to arrival.

Payment should be forwarded to our bank account indicated in the invoice no later than the invoice due date. 

All bank charges (domestic and foreign) are to be paid by the payer (Full payment to the recipient).

Hansatours reserves the right to cancel the reservation/program in the event of non-payment.

Liability

In all travel arrangements Hansatours acts only as an agent for contractors, providing hotel accommodation or other tourist services. Hansatours therefore assumes no liability in cases of accident, loss, delay or interference with the tour by force-majore or other events beyond our control.

By making a booking to Hansatours, the buyer recognises and accepts all terms and conditions stated above. By receiving a confirmation from Hansatours both parties are engaged in a contract in which Hansatours is responsible for delivering the service described in respective correspondence and the buyer is responsible for paying for the service without delay or deductions.
